Clinical Program Manager, Global Meeting Services

Core Job Responsibilities:

* Consult directly with client on meeting requirements
* Understand policies and issues pertaining to meetings with HCP's in attendance to include Investigator Meetings, Advisory Boards, KOL events and Speaker dinners
* Execute programs in full compliance with HCP guidelines
* Work with the Sourcing Department to source and secure meeting space and guestrooms
* Understand, review and monitor contract terms, space and guest room blocks
* Source and secure space at off-site venues & restaurants
* Meeting profile management in Event Software; manage status movement throughout life of the meeting, etc.
* Create and manage client and internal timelines based on company and client SOP's
* Have an understanding of Event Software capabilities and the ability to guide clients on website development that produce quality reports to fulfill the budget owners needs
* Work as a team with  Air Department to secure flights for meeting attendees
* Work as a team with Program Coordinators Department to register and secure housing for attendees
* Coordinate all pre-meeting reminders, teasers and email blasts
* Provide timely and accurate reporting for your meetings
* Create and manage the meeting agenda and show flow
* Create and manage meeting resume based on meeting requirements, update as needed with changes
* Create and manage meeting specification sheets based on meeting requirements
* Manage all changes effectively by keeping forms and paperwork updated and saved properly on SharePoint, communicate and manage all changes with vendors and other involved parties
* Use industry knowledge, guidance of chefs and feedback from your client to provide creative and cost effective menu planning that represents the likes, dislikes and general expectations for the food & beverage portion of the meeting
* Conceptualize creative theming and elements to be incorporated into special events, entertainment, parties, décor, activities, gifts and branding to enhance your meetings within the approved budget
* Act as the Liaison with designated Production company, A/V company and the hotel/venue to provide the support and communication required to produce a seamless show
* Coordinate Speaker Management; registration and logistics for events, collection of bios and session descriptions and presentation, Green Room needs and riders
* Secure specific items and products as required to be displayed or served in banquets or displays
* BEO review and execution
* Coordinate and schedule all required ground transportation using preferred vendors
* Creation/distribution of travel letters and departure notices
* Actively participate in remotely based team calls

 
Financial Management Services 

* Full understanding of client financial internal requirements
* Budget creation/management
* Payment requests, processing and reconciliation
* Reconciliation of the hotel invoice
* Final invoice binder management
* Cost savings worksheet creation/management
* Reconciliation management including estimated invoice and final invoice requirements

 
Vendor Management Services

* Manage RFP process for all vendors involved in meeting to allow for the best services at the most effective pricing model
* Negotiate cost savings and manage payment/reconciliation process (restaurants, ground transportation companies, recreation, team building, etc.)
* Clearly & effectively communicate to each vendor the goals & objectives of the event and the requirements and specifications of the meeting

 
On-Site Services

* Ability to  lead  meetings on-site and manage all components to include but are not limited to:

-        Registration and Housing
-        Food & Beverage
-        Meeting Room Set-ups
-        A/V
-        Ground Transportation
-        VIP's requests

* Manage and lead all pre-con and post-con meetings both internally at M&IW as well as with all applicable vendors and clients
* Create and manage On-Site Execution Plan for all staff. Host daily staff meetings to keep staff updated and informed
* Provide strong leadership and communication skills to both your on-site team as well as all vendors to allow for successful end results
* Create and manage On-Site Emergency Preparedness Plan for your meeting

Core Skills Requirement: 

* Minimum 3 years in Meetings Industry
* Strong written and verbal communications
* Proficient in Word, Excel, Outlook, Web Applications (Cvent &/or StarCite), SharePoint
* Customer Service focused, positive attitude, unparalleled integrity and ethics
* Ability to work remotely and report to remote Director
* Ability to learn/comply with internal and client policy and procedure (SOPs)
* Pharmaceutical experience is a must
* Knowledge of Sunshine Act/Open Payments Program

Must be able to travel at the very least 50%!

Venue Sourcing Manager

Core Job Responsibilities:

* Consult directly with client (external and internal) on meeting RFP requirements
* Create, launch and manage RFPs in web applications (Cvent-StarCite/Lanyon).
* Manage RFP life cycle:  work with hotels / venues to clarify responses, prepare client response compare grid, consult with client on hotel decision process, negotiate final deal and contract with hotel
* Must be comfortable in driving cost savings

* Track, report , and audit cost savings and contract work in web applications and on intranet
* Actively participate in remotely  based team calls
* Partner with internal Program Managers
* Actively participate in hotel presentations/webinars and support strategic initiatives with hotel & CVB partners
* Coordinate client hotel and destination site inspections
* Travel as directed by Director (limited)
* Traditional business hours in remote office region, however, must be flexible to meet client needs, time zone differences and workload
* Professionally participate in industry events, travel and potential speaking / training
* Ability to manage multiple parties involved in RFP process: clients, hotel global sales, hotel sales, planning
* Conflict / problem solving internally and with partner suppliers, clients
* Must be comfortable in negotiating terms and driving best deal for client via managing needs of multiple parties - hotels/venues, client, internal planners, procurement
* Deep knowledge of and negotiation of contract and addendum terms

* Support SMMP direction as client needs change

Core Skills Requirement: 

* Minimum 5 years in Meetings Industry (either travel buying, planning, or hotels sales experience a must)
* Strong written and verbal communications
* Strong negotiation and cost savings skills (verbal and reported)
* Proficient in Word, Excel, Outlook, Web Applications (Cvent &/or StarCite), SharePoint
* Customer Service focused, positive attitude, unparalleled integrity and ethics
* Ability to work remotely and report to remote Director
* Ability to learn/comply with internal and client policy and procedure (SOPs)
* Skilled in hotel contract terms and writing
* Strong domestic / International destination knowledge
* Strong knowledge of hotel chains, brands and operating structure
* Pharmaceutical or association buying experience is a plus
