p -value communications is growing! We are looking for experienced speaker bureau meeting planners to manage live and web-based promotional events. We are looking for candidates that can work in our Cedar Knolls, NJ office as well as freelancers. Within your cover letter, please provide examples of your experience working within a team dynamic and explain how you qualify. Please also include your salary requirements. We will take a closer look at individuals who have experience with PhRMA guidelines, travel planning, and hospitality experience. This position entails heavy phone and computer use. Experience with Microsoft Outlook, Word, Excel is required. We are a very busy department, so only apply if you are well-organized and have experience handling a very heavy workload.
The Meeting Planner is responsible for coordinating venues, audiovisual equipment, and travel for field-based breakfast, lunch, and dinner programs for brand supported pharmaceutical promotional events. The Meeting Planner will ensure that every logistical aspect of each meeting is planned and executed within budget and according to departmental standard operating procedures, client business rules, and timelines.
Specifically, the Meeting Planner:
*
Serve as a liaison between client sales representatives, district managers, and HCP Speakers
*
Provides the client sales representatives with key status milestones and assist the representative with any questions and/or requests
*
Coordinates all logistics, including site selection, food and beverage, room set up, air/ground arrangements, audiovisual equipment and method of payment
*
Negotiates costs with venues and suppliers to ensure all meetings are managed and planned within allocated budgets
*
Keeps the internal planning system updated with all details of scheduled events
*
Maintains updated contracts with venue in order to financially monitor the logistics spend and provide accurate financial reconciliation
*
Creates/customizes meeting materials
*
Completes special projects as assigned by manager
Requirements
*
Bachelor's degree
*
Preferably 1-3 years of planning experience
*
Ability to work flexible schedules and/or extended hours to meet clients' business needs
*
Excellent customer service skills
*
Ability to multi-task/plan numerous meetings simultaneously
*
Must possess excellent verbal and written communication skills
*
Must be proficient on MS Office (Word, Excel, Outlook)

About our Speaker – Carol McCullagh's career history spans a wide range of industries and functions, including U.S. Government research at Brookhaven National Laboratory, nuclear power at EG&G Idaho, Inc., telecommunications equipment manufacturing at AT&T Bell Laboratories and Lucent Technologies, and education. She is President of CMMC Consulting, a management consulting firm. She has functioned as a General Management executive where in addition to her main assignment she has been gifted to organizations for task forces to identify their problems, help solve them and teach them how to do it themselves next time.
Carol's assignments at Lucent Technologies included R&D, Business Development, Marketing, Product Management and Professional Services for projects up to $2 Billion. Her customers have included the U.S. Government, startups, and established service providers (e.g., AT&T, BellSouth, and Global Crossing).
Carol holds a Ph.D. in Nuclear Physics from S.U.N.Y. at Stony Brook, executive education from Wharton, a Master's Certificate in Program Management from Steven's Institute of Technology, and a coaching certificate from Results Coaching. She has traveled to 10 countries, likes to hike and ski. She reads avidly and volunteers at a number of career management networking groups. She resides in Basking Ridge, NJ with her two cats.
