Account Manager 3 - 9 month contract assignment
New York based Meeting Management organization specializing in pharmaceutical meetings and events is seeking a qualified Account Manager with pharmaceutical meeting experience to work full time in our office.
Responsibilities
Understand project elements
Supervise a group of planners: includes interviewing potential new hires, new hire training
Support Director, supplying information as needed, alerting them to issues while helping with workload and management.
Communicate team needs to Director
Event budget review and tracking
Work with Director to prepare project specifics in the database
Act as a mentor to jr. level employees and help them gain skills that will give
them opportunities to advance.
Respond to inquiries from client and third party vendors
Comprehensive understanding of the management and implementation of all programs.
Maintain checklist/chart of components and their status, and provide status to Director
Draft client correspondence/modify template letters and forms.
Primary client contact for day to day program and reporting questions
Manage client relationship and expectations while acting as a liaison between client and staff expectations
Positive reinforcement of company goals and objectives
Review of employee work (database checks, phone conversations) such that customer service priorities are met and work is distributed evenly
Answer phones when they are busy
Support challenges elevated by team to Director; providing strong direction and resolution.
Support inquiries from and conduct appropriate outreach to event speakers and client contacts if applicable
Liase with varied suppliers for materials and services provided on behalf of our clients
Monitor and maintain morale for employees.
Provide training as needed
Review job performance
Proactively identify challenges and collaborate on solutions
Provide interface with management to execute solutions
Consult on all staff and program related issues
Testing of project-specific database upgrades
Project-specific database training
Primary contact for planners project-specific database questions
Qualifications:
Ideal candidate will have2 - 4 years Account Management / Medical Education Related. Familiar with pharmaceutical products and medical terms, as well as a basic knowledge of CME/CE regulations.
Excellent written and verbal communication skills, be able to work independently to success, have a high degree of enthusiasm, and ability to multi-task under pressure. Proficient computer skills in Windows, Office, Excel, Internet, Database Systems.
Excellent organizational, communication, analytical and problem-solving skills.
Must be highly detail-oriented and able to manage multiple tasks under pressure.

Pharmaceutical Meeting Planner 3 - 9 month contract assignment
New York based Meeting Management organization specializing in pharmaceutical meetings and events is seeking a qualified meeting planner with pharmaceutical dinner meeting experience to work full time in our office.
Responsibilities: You will be responsible for successfully coordinating logistics of dinner meetings and all parties associated such that client policy and procedures are followed, positive relationships are built and maintained, and the meeting meets the logistical goals of all involved. As a Meeting Planner, responsibilities extend to support junior staff, interact with clients and field representative, coordinate venues and all logistics for attendees and speakers. In addition, the Meeting Planner will display an in depth knowledge of meeting planning, contract negotiation and fiscally responsible meeting spend. Coordinate all meeting logistics including registration, ground transportation, hotel accommodations meeting room set-up, audio/visual services, leisure activities, meal functions, hotel contracts, on-site staff, and budget reconciliation at conclusion of program. In this important role you will:
Oversees database and ensures maximum effectiveness of systems.
Enter all pertinent data in the computer system in a timely manner as outlined by department guidelines.
Organize multiple tasks simultaneously and work independently.
Provide timely and accurate reporting to the Project Manager on project status.
Manage and maintain a positive relationship with all speakers/ reps/ attendees
Coordinate dates and travel arrangements for speaker.
Notify all parties involved verbally and in writing of logistics you have arranged.
Keep detailed records of all communications, including contracts and special menu selections you have arranged.
Confirm in writing and verbally with all sites involved.
Maintain checklists/ charts of components and their status and provide status to project manager.
Communicate with travel agent.
Qualifications:
Ideal candidate will have 2 plus years of pharmaceutical dinner meeting experience and must have proficient computer skills in Windows, Office, Excel, Internet, Databases. The successful meeting professional will display excellent organizational, communication, analytical and problem-solving skills with a proven ability to manage multiple projects and meet aggressive deadlines. Candidates must have polished phone skills with the ability to work independently in a demanding environment. You must be highly detail-oriented and able to manage multiple tasks in a fast paced environment.
