Program Manager, Professional Medical Education

 

The Program Manager (PM) is responsible for coordinating professional education programs for pharmaceutical clients. The PM develops time and events schedules and project estimates, and coordinates the activity of a multifunctional agency team to deliver projects according to specifications. The PM presents written and verbal status reports on assigned jobs to the internal agency team and to clients. The PM also works directly with external experts and faculty to coordinate involvement in meetings, events, and conventions in both a logistical capacity and project management capacity. The PM has direct responsibility for managing all assigned projects and collaborating with other team members to ensure seamless coverage. Candidates must possess excellent oral and written communication skills and superb organizational skills and attention to detail.

 

RESPONSIBILITIES OF POSITION

* Support the Director in managing various educational projects and meetings to ensure that client expectations are met on all levels of program activity

* Assist in the planning and execution of meetings, events, and projects (e.g., symposia, speaker training meetings, advisory boards, and web conferences)
* Work directly with internal stakeholders, faculty, client, and external vendors to ensure logistical aspects of projects and meetings meet expectations
* Participate in team kick-off meetings, interim status meetings, and final team meetings for assigned projects
* Establish and maintain time and event schedules, and provide ongoing updates to team and client as required on each initiative to ensure successful management and completion
* Assist with budget creation for new projects
* Process HCP honoraria and expenses, track and reconcile budgets post-event, and report expenses per legal requirements
* Maintain and manage timely and professional written and verbal communications with clients and faculty members
* Coordinate the submission of meeting materials through client's legal/medical review process
* Assist with post-event analysis, including event metrics
* Proactively identify potential issues
* Gain a working knowledge of the client, assigned products, and disease states
* May contribute to new business development projects

 

DESIRED SKILLS AND EXPERIENCE

*      Bachelor's degree (or equivalent experience)
*      1+ years previous experience with a pharmaceutical marketing agency in a speaker              bureau, meetings management, or educational project management role preferred
*      Familiarity with Speaker Bureau/Meetings Management
*      Strong project management and customer service skills
*      Ability to deal with all levels and personality types
*      Excellent verbal and written communication skills
*      Excellent organizational skills and attention to detail, accuracy
*      Strong analytical skills and ability to problem solve
*      Excellent time management skills
*      Ability to multitask and meet deadlines
*      A team player with ability to work independently with initiative and foresight

Production Statistics:

- Review and complete daily production report, email to managers.
- Update production statistics each morning.
- Update and post production supervisor bonus program status weekly.
- Print and post period-end production results and post in hallway entrance.
- Enter and maintain overweight reports daily.
- Run reports and check accuracy in SAP.

* Create Excel spreadsheets to track production measurements.
* Gather statistical information as requested.
* Maintain a clean and safe working area at all times.
* Must be available to work overtime when needed for inventory, etc.
* Other duties as assigned by the Production Manager.

 

EDUCATION AND/OR EXPERIENCE:

A high school diploma is required, strong organizational skills, attention to detail and proven computer proficiency in Microsoft Office.
