Job Description
PRIMARY-FUNCTION/PURPOSE:
The Managing Director, Information Services Division is a new position that is responsible for supporting the Chief Information Officer (CIO) and the VP of the Information Services Division to ensure that the efforts of the division and the activities of the CIO and the VP are focused on ensuring successful implementation of the overall PPFA program plan and the division's business plan. The Managing Director will develop meeting strategies and track follow-up items, work with the VP to prioritize meeting and travel requests (schedule strategy), ensure the VP is prepared for meetings and visits, develop and oversee communications plan with affiliates, and complete special projects as assigned.
The Managing Director will work closely with the CIO, the VP and division directors, as well as supervise administrative staff who support the VP and broader division.
DUTIES AND RESPONSIBILITIES
Focus the VP and Information Services Division leadership on achievement of strategic priorities:
Strategic management of CIO's and VP's calendars and daily agendas, in coordination with administrative staff. Responsible for ensuring the calendars and agendas align with Program Strategy and Goals. Helps CIO and VP keep focused on key strategic priorities.
Works with VP to delegate work appropriately to division Directors to manage VP's workload and provide opportunities for senior management team to flourish.
Represents VP at meetings and disseminates information across the Information Services Division.
Drafts materials and communications for VP.
Plans and directs the Information Services Division's annual strategy process.
Delegates to the administrative staff, including ensuring email monitoring and response.
Helps to triage calendar requests and delegate to others as appropriate.
Ensures advance materials available for CIO and VP's meetings/travel.
Oversee Information Services Division communication and support strategy:
Develops and implements communications strategy for all communications out of the Information Services Division, including follow-up correspondence with both internal and external stakeholders. Communications include federation-wide vehicles.
Coordinates workgroups comprised of affiliate staff, including working with the VP and division leadership to set agendas for regular meetings and overseeing completion of identified action items with administrative staff.
Serves as key point of contact for affiliate customers. Directs inquiries to the appropriate person within the division and follows up to ensure issues are resolved.

POSITION SCOPE:
Responsible for the overall execution of the Information Services Division's program goals and the creation of related processes and work flows needed to ensure success. Constantly evaluates and recommends changes in strategy.
This position requires excellent people skills, in particular partnership and relationship building with both internal and external stakeholders. Requires impeccable discretion, unflappable approach and behavior as well as excellent teaching and training abilities in managing a new team.
PROBLEM SOLVING:
Responds to problems and challenges on a daily basis, in particular those that may require the direct attention of the CIO and the VP. Must have the ability to quickly determine which problems and challenges can be resolved independently and those that require the attention of the CIO and/or the VP.
Manages the follow-through on problems/challenges that can be resolved independently and oversees the needed research and counsel necessary to provide superior support to the CIO and VP when issues arise that need their direct involvement.
KNOWLEDGE:
Position requires knowledge of executive office (type) operations and management of administrative and scheduling of staff. Experience in nonprofit management and health care operations desirable.
CONTACTS
Internal Contacts:
This position regularly interacts with senior management staff, affiliates and other department and program senior staff in partnership to develop and support the Information Services Division's strategy and goals.
External Contacts:
Develops and maintains network of professional contacts that advance the image and/or operational well-being of the Information Services Division. Interacts with external stakeholders, donors, special guests on a regular basis in partnership to create opportunities, meetings and events that align with the priorities of the Information Services Division.
SUPERVISION:
Assists with the supervision, hiring, training, motivation, and evaluation of Information Services Division administrative staff. Responsible for overseeing all related work of outside vendors, consultants and outside contractors to assure work meets scope, quality standards and deadlines.

Desired Skills & Experience
POSITION REQUIREMENTS:
Education: Bachelor's degree. Additional professional training is preferred.
Experience: A minimum of five years of related, progressively responsible work experience managing a high profile executive, including supervisory and management experience. Not-for-profit management experience is a plus. Interest in technology is a plus.
Related Skills or Knowledge:
Team player with strong interpersonal skills.
Ability to work closely (one on one) with CIO, VP and senior staff.
Self-starter with a high level of creative initiative.
Unflappable in face of crisis or high stress situations.
Detail-oriented with excellent project management skills, ability to handle multiple projects and tasks, often in a fast-paced environment.

Ability to see, understand and communicate the big picture as well as translate into actionable next steps.
Other Requirements:
Knowledge of diverse groups, working with a multicultural workforce, and sensitivity and appreciation to cultural differences is essential.
This position will need to respond to the needs of a fast-paced operation which requires after-hours availability.
