Project Description:
Our direct client in the Philadelphia area has an immediate consulting opportunity for a Project Manager. This position can lead to full time opportunity paying a very competitive salary along with annual bonus and competitive benefits. The ideal candidate will have direct responsibility for assuring the successful delivery of client deliverables, contributing substantially to client satisfaction through competent project management. Ensure that projects sold to clients meet specifications, time lines, budgets, and quality standards. It will be essential to know the operational and client processes and ensure their team's compliance. Have interaction and involvement with their clients and at times, take a lead role. Project Management is comprised of five processes' initiating, planning, executing, controlling, and closing through resource allocation, trafficking, and budget reconciliation. Be responsible for the training of new Project Managers and mentoring group best practices. Candidates must be able to perform each essential duty listed below satisfactorily:

Project Planning : Proactively manage all steps of initiating projects, by leading in determining and refining project specifications; lead in the development of proposals by providing costs and time line estimates based on project specifications; obtain quotations and/or bids as appropriate; coordinate proposal trafficking and deliverables; establish project scope and collaborate in budget acceptance by the client; document project requirements and work breakdown structures (tasks), and timelines; prepare and delivery of proposal to client as needed; develop project plans, including statements of work (specifications); develop kick-off e-mails to establish project, task numbers, and communicate budget breakdowns; ensure authorization of project through PO or similar senior management approval; determine and secure resource allocation; participate in establishing the creative vision for each assigned project by working with the appropriate management and product development teams on product development, revision or redesign; collaborate with staff and freelance team members and provide ongoing guidance to the project team regarding structure, scope of content, art and design of the project to ensure that team members are meeting the product's marketing and creative goals; participate in product reviews for assigned projects to ensure accuracy and market sensitivity of art program, design and text; check and approve proofs of the project at various required stages, including bluelines and final color in editing/publishing related projects, or similar; and responsible for pricing for potential clients, re-pricing current clients on request, RFP pricing and new product pricing analysis.

Project Tracking and Trafficking : Identify and document the specific activities that must be performed to produce the project deliverables; assume overall management responsibility to track and maintain status of all projects concerning specifications, time lines, budgets, and deliverables; assume lead responsibility for project recovery by meeting established specs, time lines, and budget (excluding performance issues); initiate and assign billable project work; call and lead project team meetings to update project status on a weekly or as-needed basis; Fulfill lead role in staff allocation, scheduling, and prioritizing based on business unit objectives; Effectively manage colleagues and build successful relationships; coordinate and delegate fulfillment of client and internal deliverables; identify and document project phase timelines and facilitate on-time delivery; establish and maintain business unit procedures; recognize and evaluate requests for out-of-specification work and develop timely notifications to the Account Manager or similar and prepare change orders for the client; forecast cost-to-complete estimates for active projects; track active and completed budget totals compared with purchase order contract values; monitor project status and request changes as appropriate;
identify and analyze budget and time line risks in preparation for monthly business unit meetings; resource projects effectively to ensure maximum project time for unit; and evaluate margins on all existing continuity and custom product as well as the development and pricing of new or ancillary products within the project management teams assigned.

Client/Account Communications: Initiate kick off meetings as appropriate to establish course of project and communication channels; communicate with team on a regular basis to ensure project quality and adherence to specifications and timelines; communicate with clients on behalf of Account Manager or similar; update the business unit and client on a regular basis on status of all projects; be highly responsive and anticipate possible solutions to project-related problems/challenges; assist in anticipating and fulfilling client needs; communicate with clients, authors, and vendors concerning active projects when appropriate; take a leadership role in fostering team communications; introduce newly signed clients; bringing the client on, including new client call, serving as interim contact until AE/or similar is assigned, coordinating new client pre-production packages, etc.

Quality and Risk Control: Assure all internal processes associated with a project are adhered to inclusive of paperwork, communication, quality control measures (including editorial reviews, graphics reviews and copyediting) and scheduling; reduce threats that could impact project budget; ensure that all specifications of projects sold are delivered to clients; review project detail reports weekly or as needed to identify incorrectly recorded project hours, potential performance and inadequate budget write-offs, and potentially out-of-specification project hours; address and following procedures; evaluate overall project performance on a regular basis to ensure quality, timelines and budget specifications are accurate; as needed, develop contingency plans, alternative courses of action to satisfy project needs; execute risk reduction plans and evaluate their effectiveness throughout the project; analyze potential write-offs and out-of-specification hours and make corrective recommendations; process write-offs and submit to Accounting; prepare client change orders for out-of-specification requests; complete monthly PRC (Project Risk Control) reports or similar; and monthly budget reconciliations.

Project Management Training/Development/Operational Oversight: Responsible for training of new Project Managers and other as needed; assist with Project Manager coverage needs in the absence of Manager, Project Manager; maintain consistent adherence to operational processes within group; act as mentor to facilitate high performance standards; back up AD as needed; learn new products/processes/tools and train Project Managers; assist with interviewing Project Manager and Project Coordinator candidates; communicate any sales and/or market relevant information obtained through contact with sales, marketing and account management to project management team and others.

General Duties include using the time reporting system reporting system; signing and reporting all exception time on a weekly basis and completing other administrative tasks in a timely manner. Carry out limited supervisory responsibilities in accordance with our client's policies and applicable laws and the direction and authority of the Manager. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Required Skills:
5+ years as a Project Manager that also has experience as a Business Analyst that has worked with MS Project, experience writing business requirement documentation, that has client interface experience (not in a sales or marketing role) and PMP Certified from the PMI Institute. Experience should also include working with the business team along with the technical team and developers to implement the business requirements within in a timeline.

Candidates also should possess Core Management Competencies.
